Fee: £25,600 per year (4 days per week, with flexible working hours)

The Ukrainian Institute London is seeking an experienced administrator to support us to sustain and expand our activities, and develop our administrative systems at this key stage of the UIL’s growth.

The Ukrainian Institute London is an independent UK charity that champions Ukrainian culture and shapes the conversation about Ukraine in the UK and beyond. We engage with experts, creatives, policymakers and active citizens to explore Ukrainian perspectives on global challenges.

With our diverse programme of public-facing events, educational courses and digital content, we enable audiences around the world to access nuanced and reliable information about Ukraine.

About the role

Responsibilities
– Administrative management of all UIL projects, events and educational courses.
– Supporting Director and Deputy Director to improve administrative systems (including project management processes) for UIL activities, as we continue to expand our work.
– Working closely with Deputy Director on financial administration: monitoring project budgets, setting up payments, keeping financial records, preparing monthly financial reports.
– Coordination for in-person and online events, including liaising with speakers and venues, attendee registrations, and practical logistics.
– Keeping UIL website up-to-date with information about events and projects.
– Managing UIL general inbox and responding to email and telephone enquiries.
– Handling enrolments for UIL educational courses.
– Keeping in touch with supporters of UIL (mailings, coordinating complimentary tickets and discounts for donors).
– Working with the Deputy Director to delegate tasks to UIL volunteers.

Skills and experience required
– At least 3 years of project management and administrative experience, ideally in cultural/educational spheres.
– Strong experience in managing budgets, bookkeeping and financial reporting; confidence using excel spreadsheets.
– Excellent digital skills: experience of implementing simple website updates, using online platforms such as Mailchimp, Zoom, Eventbrite, and Google Drive.
– Up-to-date knowledge of GDPR and data protection principles.
– Fluent English language (advanced, C2 level) – essential.
– Proficient in Ukrainian language – desirable.

Terms
– £25,600 per year (4 days per week, with flexible working hours).
– Initial engagement for one year (1 August 2023 – 31 July 2024).
– Exact start date can be negotiated depending on availability of the selected candidate.
– Flexi-working, with the plan for 2 days per week in person.
– Some evening work required for events.
– The selected candidate will need to have the right to work in the UK.
