Volunteer Opportunity – Administration & Team Support

The Ukrainian Institute London is seeking a volunteer to help sustain and expand our activities, while supporting the development of our administrative systems at this key stage of UIL’s growth.

With our diverse programme of public-facing events, educational courses, and digital content, we enable audiences around the world to access nuanced and reliable information about Ukraine.

About the role

The contribution of the volunteer in this role will be significant to the organisation’s growth and impact, and you will work closely with the core team.

The tasks are varied, and the role would suit someone who is happy to undertake routine administrative work while also contributing creative ideas and input where appropriate.

As a volunteer, you’ll help the team with a range of tasks and projects, which could include:

 –  administrative support of all UIL projects, events, and educational courses,
–  supporting improvements to administrative systems, including helping to develop and implement databases and tools for managing information and contacts,
–  helping with in-person and online events, including researching venues, managing attendee registrations, and practical logistics,
–  keeping the UIL website up-to-date with information about events and projects,
–  managing the general UIL inbox and responding to emails,
–  supporting Ukrainian language school administration, including course enrolments, and assisting at the monthly in-person Kaviarnia (Ukrainian language café) events,
–  supporting communications and media activities, including updating media lists, drafting press notes, assisting with press releases, social media content planning, and post-event communications,
–  proofreading and preparing materials for external audiences,
contributing to fundraising and donor support activities.

We are looking for someone who is reliable, positive and able to take initiative, as well as work effectively as part of a small team. Ideally, the volunteer would be able to join us in the office in person once a week, although the role is flexible and many tasks can be carried out remotely where appropriate. Occasional evening support at events may also be required.

This is an unpaid position, and we are deeply grateful for the energy and commitment our volunteers bring to the organisation. Reasonable expenses for lunch and travel within London will be reimbursed.

Skills and Experience Required:

–  administrative experience, ideally in cultural or educational sectors,
–  excellent digital skills: website updates, and using platforms such as Mailchimp, Zoom, Eventbrite, and Google Drive,
–  fluent English (advanced, C2 level) – essential,
–  previous experience in NGOs or charities in the UK would be an advantage.
